ServiSync (“ServiSync”, “we”, “our” or “ours”) respects your privacy and is committed to protecting it by complying with this privacy policy. Our new privacy policy comes into effect on January 4, 2023 and applies to all websites, mobile or web applications, as well as to all our divisions, regions, and areas where we provide or plan to provide services in the future. ServiSync provides a cloud-based cleaning services management solution for companies specialized in providing cleaning services.

 

ServiSync Privacy Commitment

Personal information and user privacy have been fundamental aspects for ServiSync since its founding. We never request unusual information from our website users or visitors. Instead, we only ask for the necessary amount of essential information to proceed with further communication and future business. We are committed to informing customers about the information we collect, allowing them to opt out or unsubscribe from the email list or special participations whenever they wish. Our primary commitment regarding user privacy is that we never sell user information, such as email address, name, phone/mobile numbers, or any type of personal information, to third-party websites or other companies for purposes of relevant/irrelevant advertising or revenue generation.

The purpose of this policy is to keep users updated with the information we collect from our customers, users, or website visitors, how we will use it, and how we will not use it. In this way, as a customer or user, you will easily know that the information we collect is securely protected with us and is never used in an unusual manner. We hope that by explaining and helping you understand our practices of collecting and protecting personal data, we can develop a trusting and long-lasting relationship with you.

 

 

Scope of Our Privacy Policy

This Privacy Policy explains the data privacy policies and practices we follow to use our customers’ personal data and applies to all ServiSync websites, mobile or web applications that link to it. This Privacy Policy does not apply to any of our websites, products, or services that have a separate privacy policy implemented on their respective websites and applications. To facilitate understanding of the policy, we have divided it into 3 different parts:

Part I – Information that ServiSync Collects, Controls, and Uses

In this part, you will learn how ServiSync collects and uses your personal information when you interact with ServiSync as a website visitor, potential customer, user of ServiSync products and services, fill out the contact form, send emails, use the chat, make telephone calls, or in any other way that ServiSync offers for interaction.

Part II – Information that ServiSync Processes on Your Behalf

In this part, you will understand how ServiSync handles the personal data you share with the ServiSync team when you use our products and services, or when you request customer support.

Part I – Information that ServiSync Collects, Controls, and Uses

 

What Information Does ServiSync Collect

ServiSync collects user information only if we need it for further communication, customer support, or for some legitimate purpose. ServiSync will have information about you only if:

  • You have provided the information yourself.

  • ServiSync collected the information automatically.
  • ServiSync obtained the information from a third party.

The points mentioned below clearly explain the types of information we may collect from you or that you may provide when you access or use the ServiSync Website/Services/Products.

 

Information You Provide Personally

  • Contact Form: When you fill out the contact form for our service, we request information such as your name, contact number, email address, etc. This will help us contact you easily to discuss more about our service. At the same time, you will be added to our email database in MailChimp (the email marketing platform we use to contact our customers) for later sending of emails related to our services and products.
  • Account Registration: The ServiSync mobile application is not intended for generic users. It is only for users and companies that use our ServiSync service/products.
  • Events and Conferences: If you participate in events where the ServiSync team is also present, we may request details such as your name, mobile number, email address, etc. We store these details in our database for future communication. However, you may opt out at any time by sending us an email to cancel the subscription.

 

Information Collected Automatically

  • Cookies and Similar Technologies: Like many other websites, ServiSync uses cookies to store information about visitor preferences, record specific information about which pages users access or visit, and to personalize or customize the content of our webpage based on the visitor’s browser type or other information that the visitor sends through the browser.
  • Web Server Logs: Like most websites, our servers automatically collect information when users access or use our websites and store it in log files. These logs may include information such as the Internet Protocol (IP) address, browser type, operating system, ISP (Internet Service Provider), referral/outgoing pages, files viewed on our website (e.g., HTML pages, graphics, etc.), operating system, timestamp, and/or click data.
  • Application Log Information: We automatically collect information related to the use of our products and services from the application logs. Our team uses this information to understand how you use the ServiSync application, allowing us to improve our products.

 

Information Collected from Third Parties, Agents, and Contractors

We are using different third-party platforms to enhance our services for users. We collect or may collect various types of information about website users or ads executed by ServiSync on those third-party platforms. This includes, but is not limited to:

  • Google Analytics: The Google Analytics tool creates a permanent cookie in the web browser that is used to identify you as a unique user for that specific site and for the next visit to that site. This cookie can only be used by Google. We have implemented the Google Analytics tool on our website to track clicks, bounces, pages visited, location, etc., for analysis of user engagement with our site.
  • AdWords/Facebook/LinkedIn Analytics: ServiSync is linked to many other analytical tools, such as AdWords, Facebook, LinkedIn, or any other service delivery platform where ServiSync is present. If you contact us through these different service providers, those providers will authenticate your identity and give you the option to share certain personal information with us, such as your name and email address.
  • Information from Social Networking Sites and Other Publicly Available Sources: If you leave a comment on our social media posts and share your information with us, such as name, email address, or phone number, then we manually store your information in our email database for future communication. However, you may unsubscribe at any time by sending us an email to cancel the subscription.

 

What is the Purpose of Using the Information We Collect?

In addition to the purposes mentioned above, we may use your information for the following purposes:

  • To communicate with you (e.g., via email or phone) about products you have accessed, new product launches, product updates, changes to this Privacy Policy, changes to the Terms of Service, or important notices.
  • To send you blog posts, newsletters, event details, and other information that we believe will be of interest to you. 
  • To provide you with the ServiSync Services you have accessed, related content, and other products and services you have requested.
  • To provide customer support.
  • When the use of your information is necessary for the performance of a contract that we are about to enter into or have already entered into with you.
  • To allow Service Providers to perform certain responsibilities and provide certain services related to our business and operations.
  • To make systematic improvements to the user interface in the application based on the user’s interaction with the site.

 

Your Options Regarding the Use of Information

  • Unsubscribe / Cancel Subscription from Email/Message List: You can cancel your subscription to product updates and other non-essential messages by using the “unsubscribe” option provided in all those emails or messages. However, you will continue to receive essential transactional notices and emails. You may also send us an email to cancel the subscription and be removed from the email database.
  • Disable Cookies or Use Incognito Mode: You can disable cookies in your browser before visiting our websites. However, if you do so, you may not be able to properly use certain functionalities of the websites. You can use the incognito mode functionality, which is specifically designed not to store cookies in most major web browsers.
  • Do Not Provide Optional Information: You may choose not to provide optional profile information, such as your photo, residential address, etc.

 

With Whom We Share Your Information

We may disclose aggregated information collected about our users, visitors, and customers when we consider that it does not identify any individual. We are not restricted; however, we will be bound by the terms and conditions listed in this policy. We share your information only in the manner described in this Privacy Policy. We ensure to share the information only with trusted, authenticated parties that have adequate measures of confidentiality and security.

  • With employees and the ServiSync team so that we can help you offer the right services and products, depending on your needs.
  • With third-party suppliers that we use to support our business.
  • With service providers that manage our communication preferences, such as SMS, email, and push notifications.
  • To fulfill the purpose for which you provided it.
  • For any other purpose disclosed by us when you provided the information.

 

Your Rights Regarding the Information We Have About You as a Controller

 

We have provided several options for our users to supply their personal data. We grant our users full authority to control the information they have provided to us through different mechanisms:

  • Tracking Technologies (Browser Cookies): You can configure your web or mobile browsers to refuse all or some cookies. If you disable or refuse cookies, note that all or part of the Services and the ServiSync website may not function correctly.
  • Push Notifications: If you have enabled notifications on your desktop and mobile applications, we will send notifications through a push notification provider. You have full authority to manage the preferences related to push notifications. You can disable these notifications by turning them off in the application or device settings.

  • Location Services: If you have enabled location services, the ServiSync application will, from time to time, collect your device’s location, even if you are not directly interacting with the application (in both foreground and background modes). You can disable this service by turning it off in the application or device settings.
  • Right to Rectification: You have the full right to update your personal information in our records. If you find that we have inaccurate information in our records, you may submit a request to rectify that information. Based on the purpose for which we use your information, you may instruct us to add, remove, or update any information about you in our database.
  • Right to Erase/Delete: You have the right to request the deletion of your personal information in certain cases, such as when it is no longer necessary for the purpose for which it was originally collected.

 

Your Right to Access and Correct Your Personal Data

It is recommended that you contact us if you wish to request access, modification, correction, or deletion of any personal data that you have provided to us for any purpose. However, we reserve the right to refuse a request to modify personal data or other information if we believe that such modification would violate any law or legal requirement or would result in inaccurate information.

If you delete your user profile, personal information, or content from a ServiSync product/service (including any User Content stored in the cloud), it is possible that copies of your User Content may remain visible on cached and archived pages or may have been copied or stored by other users of the Servers or the Site. Proper access and use of the information provided in or through any of ServiSync’s Services, including User Content, are governed by the Terms and Conditions.

 

Retention of Information

We retain your personal information for as long as we believe it is necessary to fulfill the purpose for which you provided it. Sometimes, we may retain your information for longer periods if we believe it will be necessary in the future, as permitted or required by law, such as to prevent abuse. We may retain your information for longer periods in connection with legal action, to enforce our agreements, for tax, accounting purposes, or to comply with other legal obligations. When there is no longer a need to process your information for any legal purpose, we will delete your information from our databases. We will also store the information securely on backup disks until deletion is possible.

 

Part II – Information that ServiSync Processes on Your Behalf

 

Information Entrusted to ServiSync and Purpose

Information provided in the scope of services: You may entrust information that you or your organization (“you”) control to ServiSync in the context of using our services. This includes information about your customers (Emails, Name, Phone Number, Position, Company, etc.) and your employees (if you are a controller) or data that you hold and use on behalf of another person for a specific purpose, such as a customer to whom you provide services (if you are a processor). The data is stored on our servers when you or your additional customers use our services.

Mobile Device Information: The ServiSync mobile application allows you to upload photos and requires access to your mobile phone’s camera. We do not access your photos; however, the PDF files or images that you upload to our application may be accessed by us. Similarly, when you choose to grant access, location-based information is also collected for the purposes of the services that you or your additional customers obtain from ServiSync. This information will be exclusively shared with the location API provider, such as Google Maps. We are storing the location-based data on our servers. The location information to which the mobile application has access will be used in the context of the mobile application and will be transferred and associated with your account in the corresponding services.

 

Ownership and Control of Your Processed Data

All the information that you or your customers share with us when using our product or service is entirely controlled by you. You have full ownership of that data; you can access it whenever you wish, share it using third-party integrations, or update, delete, or export it at any time.

 

With Whom We Share Processed Data

Employees, Contractors, and Service Providers: We may grant access to the processed data to our employees, independent contractors, or service providers of ServiSync to fulfill purposes such as (i) identifying, analyzing, and resolving errors in the application and on the website, (ii) manually verifying and resolving emails flagged as spam, (iii) detecting fraudulent activities. We ensure that only specific employees have access to the processed data after thorough verification and periodic audits. In this way, we ensure who has access to your processed data and how that data is used. Our employees will have access to the data you shared with us to provide technical support on your behalf, as we constitute the central technical team of the product you have purchased or subscribed to in our services. We frequently remind and communicate to our employees, contractors, and service providers the data protection and privacy guidelines created and developed by ServiSync to ensure customer privacy.

Retention of Processed Data: We retain your processed data in your account as long as you choose to use ServiSync Services. After terminating your ServiSync user account or services, we will delete the data from our database. However, these may be stored in cache or archive files, which will be deleted during the next general cleanup, usually performed every 6 months.

 

Part III – General

Personal Information of Children

Our products and services are not designed to be used by children below the age established by the labor legislation of the country. The minimum age for professional work varies in each country. ServiSync does not intentionally collect personal information from children who are below the minimum age limit for work. If we become aware that a child below the work age limit has provided us with personal information, we will take steps to delete that information or will contact the customer using ServiSync’s services. After clarifications from the Customer, additional measures will be taken if necessary.

 

How Secure is Your Information

At ServiSync, your personal information and processed data are protected by effective safeguards. We use advanced administrative, technical, and physical safeguards to protect your data against theft or unauthorized access. This prevents unwanted modifications, disclosure, or destruction of the information you share with us. If you have any concerns about the security of your data, please contact the Data Protection Officer.

We have appointed a Data Protection Officer to oversee the management of your personal information, as set forth in this Privacy Policy. Locations and International Transfers

At ServiSync, we share your personal information and processed data only within ServiSync. By accessing or using our products and services or by providing personal information or processed data, you consent to the processing, transfer, and storage of your personal information or processed data within the European Economic Area (EEA) and other countries where ServiSync operates.

 

Do Not Track (DNT) Requests

Some internet browsers offer “Do Not Track” (DNT) functionalities, which send a signal to websites indicating that you do not wish to be tracked. Currently, there is no standard that dictates what websites may or should do when they receive these signals. For now, we do not respond to these signals.

 

External Links on Our Websites

The ServiSync website does not contain external links.

 

Disclosures in Compliance with Legal Obligations

We may be legally required to save or disclose your personal information or your processed data in any type of legal proceeding or governmental request, without restrictions, including to meet national security requirements.

 

Exercise of Our Rights

We may disclose and share your personal information and processed data with third parties if we believe that such disclosure is necessary to prevent fraud, investigate any suspected illegal activity, enforce our agreements or policies, detect spam, or protect the safety of our users.

 

Compliance with This Privacy Policy

We are fully committed to ensuring that the personal information you provide is used as stated in this Privacy Policy. We will contact you and, if necessary, take additional measures to resolve your issue and may make changes as necessary.

 

Notice of Changes

We may modify the Privacy Policy at any time, notifying you via email to your primary email address. If we make significant changes to this Privacy Policy that affect your legal rights or data protection rights, we will give 30 days’ notice (to your primary email address) before implementing the changes. If you feel that the updated Privacy Policy affects your rights regarding your use of our products or services, you may terminate your use by sending us an email within 30 days. After that period, you will automatically be subject to the new privacy policy agreement. You will not receive email notifications of minor changes to the Privacy Policy.
